How we collect, use, and protect the information you share with the Canadian Elite Softball Camp.

This Privacy Policy explains how the Canadian Elite Softball Camp (the “Camp,” “we,” “us”) collects, uses, discloses, and protects personal information submitted through this website, including our application and contact forms. We are committed to handling personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law.
Information we collect
When you submit an application, we collect information about the athlete and the parent/guardian, which may include: athlete name, birth year and date of birth, city/province, playing positions, batting/throwing preference, current team, years of experience, t-shirt size, achievements and highlight links, coach/reference details, parent or guardian name, email and phone number, and your electronic signature and the date provided on the waiver.
When you use our contact form, we collect your name, email, phone (if provided), and your message.
Children’s information
The Camp is for minor athletes. Information about a minor is provided by, and with the consent of, a parent or legal guardian who completes the application. We rely on that parent/guardian consent for the collection and use of the athlete’s information.
How we use your information
- To review applications and select participants;
- To contact accepted athletes and families with next steps, payment, and event details;
- To organize, run, and staff the Camp (including lunch orders);
- To communicate with you about your application or inquiry; and
- To keep records related to participation, waivers, and safety.
How we share your information
We do not sell your personal information. We may share it only as needed to operate the Camp:
- With the Camp’s instructors, coaches, vendors, and operational staff, as reasonably necessary to organize and run the event;
- With our official media partner, Line Drive Media, in connection with event coverage and promotion, where media consent has been provided;
- With service providers that help us operate (for example, Google services used to receive and store form submissions, and our form-delivery provider for contact messages); and
- Where required by law, or to protect the safety of participants.
Photography & media
By participating, families may consent (through the application) to the athlete being photographed or filmed at the Camp and appearing in event coverage, promotion, and marketing. You may contact us with questions about media use.
Storage & security
Application and contact information is stored using reputable third-party services (including Google). We take reasonable steps to safeguard personal information, though no method of transmission or storage is completely secure.
Retention
We keep personal information only as long as reasonably necessary for the purposes described above and to meet legal or record-keeping obligations, after which it is deleted or de-identified.
Your choices & rights
You may request access to, correction of, or deletion of the personal information you provided, and you may withdraw consent (subject to legal or contractual limits) by contacting us. To make a request, use our contact form.

We may update this policy from time to time. The “Last updated” date above reflects the most recent version.
